Teens Uncharted Retreat 2027: Terms of Service & Refund Policy
Pre-Confirmation Guarantee (Founding Registration Window)
If the retreat is not confirmed by December 15, 2026, every attendee payment will be refunded in full. Once the retreat is formally confirmed on or before December 15, 2026, the standard cancellation and refund policy below takes effect.
Cancellation, Refund, and Transfer Policy
Once the event is confirmed, registration cancellations follow this schedule:
-
Through March 31, 2027: Full refund minus the initial deposit/processing fees.
-
April 1 – May 31, 2027: 50% refund of total registration fees paid.
-
June 1, 2027 and onward: No refunds will be issued under any circumstances.
-
Ticket Transfers: If you are unable to attend after June 1, 2027, you may transfer your registration in full to a qualified clinical colleague. All transfer requests must be submitted in writing to event management prior to arrival.
Payment Plans and Failed Payments
-
Completion Deadline: All installment plans must be paid in full by June 15, 2027. Installment amounts and intervals are scheduled automatically based on your initial checkout date.
-
Failed Installments: If an automated installment fails, you will receive an automated notification to update your payment details. If a recurring payment fails twice, you will be contacted directly to resolve the balance. Accounts that remain delinquent risk seat forfeiture and the release of their registration.
-
Discounts and Exceptions: Any pricing adjustments, coupon codes (such as the practice group discount), or payment modifications are non-transferable and require advance administrative approval.
Event Rescheduling or Cancellation
-
If Teens Uncharted is required to cancel or reschedule the retreat due to circumstances beyond reasonable control (such as venue closure, extreme weather events, or safety emergencies), attendees will be notified immediately.
-
In the event of a full cancellation by Teens Uncharted, participants will be offered the choice between a transfer to the rescheduled date or a full refund of registration fees collected. Teens Uncharted is not liable for personal travel accommodations, flights, or transit arrangements purchased independently.
Onsite Waivers and Activity Requirements
- Activity Waivers: All attendees must complete and sign required safety waivers prior to arrival (including liability waivers for camp waterfront activities and the high ropes challenge course).
-
Medical & Accommodation Needs: Health details, severe allergy disclosures, and accessibility requests must be submitted through the official attendee forms by August 1, 2027, to ensure proper accommodations.
Media and Video Consent
- Photography and video recording will take place across the camp property during the retreat for educational documentation, community archives, and future Teens Uncharted promotional materials.
-
By attending, participants grant Teens Uncharted the right to use captured media featuring their likeness, unless an explicit written restriction is agreed upon prior to the event.
Code of Conduct
- Teens Uncharted is dedicated to providing an inclusive, supportive, and respectful environment for clinicians of all backgrounds.
-
Harassment, disruptive behavior, or safety violations will not be tolerated and may result in immediate dismissal from the retreat grounds without a refund.
